25-26 Priority Re-Application Process

OVERVIEW:

The Online Priority Re-Application Process is the best way for current residential and commuter students to be placed into 25-26 residential housing. Please read this brochure in its entirety to understand the process.  If you follow and complete each stage, you will secure a room space for the 2025-26 academic year.

WHAT ARE THE BENEFITS OF PRIORITY RE-APPLICATION PROCESS?
  • Priority Re-Application Process grants priority placement for current residential and commuter students before the placement of incoming new to housing, transfers and Re-Admit students
  • Priority Re-Application is the only way for students to guarantee housing for Fall 2025- Spring 2026
  • PLEASE NOTE: 
    • Priority Re-Application Process does not guarantee a specific room type or building location
    • must remain in good academic and financial status over the summer
  • Priority Re-Application Process is an online process.
    • Providing you have internet access, you can complete the APPLICATION AND DEPOSIT from anywhere.
HOW TO QUALIFY FOR PRIORITY RE-APPLICATION PROCESS: 

A) Clear Account Holds - Some account holds are listed under "My Alerts" within connect.oldwestbury.edu

All holds are listed under: Registration> View Holds

  • To clear the hold, you must work with the department or individual who initiated the hold.
  • For example, if you have an outstanding bill, the Bursar may place a hold on your account.
  • *YOU MUST REMAIN IN GOOD STANDING WITH THE INSTITUTION*.

 

B) Paying Deposit Online

  • To pay your housing deposit on-line:
    • Log in to ConnectOW
    • Look for Manage My Account card
    • Click E-Bill My Account
    • Select "Deposits" from menu at top of page
    • Select correct semester (FALL 2025) in drop-down menu - click "Select" button
    • Select "ROOM DEPOSIT WEB" in drop-down menu - click "Select" button
  • Follow on-screen instructions to complete payment method until you have a payment receipt (keep this receipt for your records)
  • Complete all forms until you see a thank you screen. Be sure to follow on-screen tips and directions.

 

C) Applying for Priority Re-Application Process Application

  • Your housing application, including the one (1) year license agreement, is done online. To complete your housing application online:
    • Log in to ConnectOW
    • Look for Housing and Dining Card
    • Click on Housing Self-Service & Apply Online (located under Housing & Dining).
      • A new browser tab will open -- ​​ Apply Online
      • Select: 25-26 Priority Re-Application Process (Current Residential and Commuter ONLY)
  • Complete all forms until you see a thank you screen. Be sure to follow on screen tips and directions. Your housing application, including the one-year license agreement, is now done online.

25-26 PRIORITY RE-APPLICAITON PROCESS WILL CLOSE ON FRIDAY, JUNE 13, 2025 @ 11:59PM

NO LATER THAN JULY 1 , 2025 THE OFFICE OF RESIDENTIAL LIFE WILL PLACE ALL QUALIFIED STUDENTS INTO HOUSING.

Q: How do I qualify for Priority Re-Application Process ?

A: Priority Re-Application Process qualification can only occur if the minimum requirements on page 2 are met. Failure to get clearance for any issues or holds, or to process in a timely manner can negatively impact your ability to be a part of Priority Re-Application Process. 

 

Q: What happens if I do not participate in the Priority Re-Application Process?

A: Your housing contract will expire at the end of the Spring 2025 semester and you WILL NOT HAVE HOUSING for the upcoming 2025- 26 academic year.

 

Q: What happens if I decide after Priority Re-Application Process has finished that I want a room for the 2025-26 academic semester?

A: You will need to submit a “Re-Admit Housing Application” on-line, as well as a housing deposit, and clear any holds. Applicants after the June 13th deadline will not receive priority placement or consideration. 

PLEASE NOTE: Final assignments will not be made available until late August.

 

Q: What are the differences between the Woodlands and Academic Village?

A: Woodlands Halls Available for all students

  • Double Rooms (2 people) & Triple Rooms (3 people) 
  • Social and Study Lounges
  • PLEASE NOTE: A/C and elevators are available
  • Overflow from AV for Seniors and Juniors will be available but there will be NO SINGLE ROOMS

AV Single Occupancy Rooms Available for Graduates, Seniors & Juniors (by credits)

  • Single Occupancy Rooms within a suite
  • Single and Double room types (prices vary)
  • Semi-private bathrooms
  • More independent living
  • Easy access to Academic Village Gym
  • PLEASE NOTE: A/C and elevators are NOT available; residents are welcome to bring window, standing, or box fans. Personal A/C units are not allowed. 

Q: I am a student with medical concerns, what options are available?

A: Inquiries regarding reasonable accommodations can be made by contacting the Office of Services for Students with Disabilities (OSSD) - NAB 2065 Phone: 521-876-3009 Email: defelices@oldwestbury.edu

  • Students should apply for a space during Priority Re-Application Process first, to ensure a bed for the Fall. If the accommodation is approved through he Office of Services for Students with Disabilities (OSSD), then you will be reassigned over the summer. 
  • PLEASE NOTE: We cannot guarantee the ability to accommodate all requests, even when approved by OSSD.

Q: How do I get a single room in the Academic Village?

A: Limited space is available in the Academic Village. We cannot guarantee placement in a single-occupancy room.

  • Single rooms are not available for Woodlands residents. 
  • Medical singles are a separate process-- see previous question.

Q: What are my options if I did not get placed into the Academic Village? 

A: Students interested in being placed in the Academic Village can request to be on the AV Waitlist. 

  • This process begins by sending an Email to the Office of Residential Life at reslife@oldwestbury.edu
  • Due to the limited number of spaces, housing placement cannot be guaranteed and can go well into the Fall or Spring semester before spaces become available. 
  • Requests that are more specific (Ex: I will only take a double in a specific building/ floor/ suite etc.) vs those that are more general (Ex: I will take any available space in AV) are more difficult to accommodate. 

Q: In the Woodlands, how can I match with my friends for a double or triple room?

A: Students interested in living as roommates in the Woodlands Hall can request this option through the Office of Residential Life at reslife@oldwestbury.edu

  • All students must meet all the minimum requirements on page 2 to be considered for roommate matching
  • All students must be mutually matched by Email prior to requesting room with Residential Life
  • If you are interested in having a specific roommate(s), all roommates must send an Email to reslife@oldwestbury.edu requesting each other.
    • PLEASE NOTE: all requests must be mutual
    • Must be received by no later than Friday, June 13, 2025
    • Emails must include full name and 700 numbers for verification
    • incomplete or incorrect information will delay or void the request
  • All students must be mutually matched by Email prior to requesting room with Residential Life
  • Requests that are more specific (Ex: I will only take a specific building/ floor/ room etc.) vs those that are more general (Ex: I will take any triple room in the Woodlands) are more difficult to accommodate. 

Q: How can I find out more information about Gender Inclusive Housing? What if I’m already in GIH?

A: Students currently in GIH spaces DO NOT AUTOMATICALLY GET PLACED INTO GIH housing for Fall 25-Spring 26. You will need to submit a new request form. Students interested in finding out more information about gender inclusive housing can reach out to the Office of Residential Life at 516.876.3210 or to reslife@oldwestbury.edu. An appointment will be scheduled to speak with the Director of Residential Life.

 

Q: How can I find out more information about Athletic Housing? What if I’m already in Athletic Housing?

A: Students currently in athletic spaces DO NOT AUTOMATICALLY GET PLACED INTO ATHLETIC housing for Fall 25-Spring 26. You will need to submit a new request form. Students interested in Athletic Housing (King Hall - Academic Village) can request housing through the Office of Residential Life at reslife@oldwestbury.edu. Please note that due to the limited number of available spaces, all placements cannot be guaranteed. In conjunction with the Athletics Department, all placement decisions are finalized over the Summer. Students must be actively on team rosters to be considered for placement.

 

Q: If I have concerns about the deposit, who can I speak to? 

A: If you are an EOP Student, please reach out to the EOP Office: 516.876.3068. All other deposit inquiries can be directed to the Office of Residential Life

 

Q: What happens if my status changes over the summer?

A: You must be in good standing with the College to continue in on-campus housing. If you have had a change in circumstances that may impact your ability to remain in housing, please contact the Office of Residential Life as soon as possible so that we can update your account as needed.

 

Q: If I decide to cancel my housing, how can I get my deposit back?

A: The $50.00 advance housing deposit is NOT REFUNDABLE after July 1 for Fall semester applications. If cancellation occurs after July 1, either at the request of the student or for failure to pay the bills, the deposit cannot be refunded but will stay on the student's account. Advance housing deposit made after July 1 become non-refundable 30 days from the date the Re-Admit application is received by the Office of Residential Life or after the first day of classes, whichever comes first. HOW WILL PRIORITY RE-APPLICATION PLACEMENT BE PROCESSED?

ALL STUDENTS WHO CLEARS ALL THE MINIMUM QUALIFICTIONS WILL BE PLACED INTO 25-26 RESIDENIAL HOUSING.

Priority Re-Application Process will be finalized by the Office of Residential Life over the Summer.

Only Qualified students (from page 2) will be given priority placement consideration by total credits count.

PLEASE NOTE:

  • Residential Life CANNOT GUARANTEE all requests including but not limited to: the ability to accommodate all roommates, room types or building locations.
  • Only qualified students will be placed into available spaces.
    • Minimum requirements for qualifications can be reviewed on Page 2
  • Once the room placement is set, the placement is final until after the room freeze is over in the Fall.

Academic Village Placement

  • will ONLY be for those who are graduate, seniors and juniors
  • there are very limited doubles and single room spaces
  • due to the rising number of seniors, students WILL NOT be able to do pull ins to suites

Woodlands Placement

  • will be for all rising Sophomores, Juniors and Seniors who did not qualify for Academic Village
  • can pull in your friends
  • there will be no option for a single room in the Woodlands
  • AV waitlist is available (historically, spaces do not become available until the Spring semester)

 

NOT Qualified for Priority Re-Application Process

  • will not be placed into housing
  • can fill out the Re-Admit application but WILL NOT receive priority placement ahead of New to Housing, Transfers and other Re-Admits
QUALIFYING CHECKLIST FOR PRIORITY RE-APPLICATION PROCESS:(ALL the following criteria must be met):
 

Must be a current active residential or commuter OW student.

 

Be in good student conduct standing.

Holds will not be lifted until all educational sanctions have been completed

 

Clear account holds by Fri, June 13 (HARD DEADLINE)

(international & athletic holds will not stop you from participating in Priority Re-Application Process)

 

Pay the $50.00 room deposit online to the Bursar Office by

Fri, June 13 by 4:00PM (HARD DEADLINE)

 

Submit your online housing application/license agreement by

Submit your roommate requests to the Office of Residential Life
